JOB TITLE: Assistant Operations Supervisor

WORK ENVIRONMENT: [As an example: In performing the duties of this job, the employee is regularly exposed to moving mechanical parts. The employee is exposed to; dust, airborne particles, loud noises, and vibration. The Receiving Supervisor will spend 90% of their time in the warehouse monitoring receiving activities and overseeing employee performances.]
PHYSICAL DEMANDS [As an example] While performing the duties of this job, the employee is regularly required to stand for the duration of the shift; talk or hear; use hands to finger, handle, or feel; and reach with hands and arms. The employee is frequently required to walk. The employee is infrequently required to sit; climb or balance; and stoop, kneel, or crouch. The employee must regularly lift and/or move up to 10 pounds, frequently lift and/or move up to 40 pounds, and occasionally lift and/or move more than 70 pounds. The employee is required to key data frequently during the shift while standing, using a keyboard or calculator.
JOB SUMMARY: This position is primarily responsible for:
1) Assist in supervising Staff, including training and support to accomplish given tasks
2) Scheduling, truckers and vendors to meet shipping line deadlines
3) Updates and maintains reports as mandated.

I) GENERAL DUTIES AND RESPONSIBILITIES:
1) This is a full-time position requiring daily attendance during your established office hours as determined by Management. You must clock in at the beginning of the workday and you must clock out at the end of the workday. You must also clock out at the beginning of each meal period and clock in at the end of the same meal period. No work can be performed during the meal period, which may be spent on or off the Company’s premises, as the time is considered a non-working time and is unpaid. If an employee knows they will be late for work, the employee should make a call to their immediate Supervisor before the start of their shift. It is essential to the job to be on time every scheduled workday to be work-ready to serve our customers.
2) This position may require overtime, which may only be worked when a Supervisor/Manager approves the time in advance of working the overtime.
3) The work output and quality of the work and customer service must be of the highest caliber.

5) Recommends steps to strengthen procedures in any given area when the procedures in effect are noted to be inadequate or weak.

II) JOB DUTIES AND RESPONSIBILITIES:
1. Oversee proper receiving of shipments on a daily bases, documenting damages and shortages. Communicate with both Billing and CSA’s any issues that might affect the integrity of the customers shipment.
2. Confirm Tariff requirements are met when planning container loading manifests. consolidated cargo item requires three or more items. Not one exceeding 75% of total cube. Each commodity must have a min of 75 cf. Two or more shipments in total must exceed 400 cf.
3. Reviews each container while loading to ensure all freight is loaded in a manner that minimizes claims.
4. Determines that special instructions such as hold/top load only/ this side up are recognized and loaded accordingly.
5. Determines whether items loaded in the container are compatible (hazardous freight)
6. Enters hazardous information into the system and confirms cube certs and exception reports are done and turned into the billing department.
7. Communicates via e-mail timely, up dates computer-generated manifests, signs off on manifest once visual inspection of container is complete.
8. Acts as back up to conducts weekly safety Meetings.
9. Determines that dock area and outside premises are being properly maintained and cleaned. Including monthly facility inspections.
10. Assists in keeping the weekly loading report on all containers and cube we have moved and turn into Operations Supervisor. Maintaining goal of over 1800 cf for 40hc and over 2000 cf for 45’
11. Ensures daily forklift Pre-Ops inspections are done all equipment and notify Ops Supervisor of any failures or potential failure in equipment.
12. Determines the safe use of equipment minimizing down time due to repairs needed and making sure our warehouse staff are using safe equipment, notifies Operations Supervisor of any concerns.
13. On heavy load days make sure to walk the dock once an hour to ensure proper loading and staging of freight, ensuring all orders have routing sheets.
14. Master's the use of the Yard Goat to position containers.
15. Handles Special Projects, in particular Green coffee fumigation process.
Allowing for fast turnaround in loading.
III) AUTHORITY:
1. Recommends procedural changes to improve processes.
2. Authorizes overtime if deemed necessary for function of business.
3. Recommends repairs and or improvements.
